I hope you are keeping up with the pace of new features and updates from Planmyleave and ProjecttoolBelt. We released our web based timesheets software MyWebTimeSheets late in August 2015.
These several past weeks have been extremely productive and we are happy to announce another great feature – Task Sets.
What is it?
A task set can be any set of HR tasks that you create that need to be routinely done. They can be assigned to users at specific times or schedued to be added automatically on a status change. So it helps make the HR Manager's task easier as they can group a set of activities and have them all assigned at one go to take care of a specific need - like onboarding new employees, arranging an office picnic, birthday party or offboarding or changing someone from Temporary to Permanent staff.
How does it work?
You create a set of tasks as a HR task set. You can add start and end dates as well assign the task team, task owner and task dependencies /precedences. Once a task set is created it can be reused many times instead of recreating it each time. Task sets can be copied and tasks attached or detached easily.
Here are some examples and tips on applying this feature:
Say, you are a HR Manager and need to add a list of tasks to be done everytime a new employee joins the company.
If you are a HR Travel Desk assistant and need your team to get a set of tasks ready to complete a travel request. You can use this feature
If you arrange office birthday parties - use this as a checklist of tasks to be done - like ordering cakes to booking the conference room for the party.
If you arrange Halloween parties or Christmas parties at your office - you might want to refer a set of tasks to organize a new event in an orderly manner and not slip up on something important like your sound system or lighting arrangements.

How it has helped our customers
Lets take the case of Ananya an efficient multi-tasker who works as a HR Manager at Thrillophilia. Anytime a new employee joins she has to make sure they are put on probation for 3 months, their PF forms are filled, their ESI registration is done (if needed), bank accounts are integrated with payroll software, information about Dependents is collected for Health insurance, address and emergency contact details are updated and medical tests done and history added to employee records. She has created all this as an Onboarding Task set. All she has to do is attach this set to the new employee and check off each as the tasks are executed. Documents can be uploaded easily and task precedences can be set. No more waking in the night remembering an important task that got missed. Task sets makes it easy for routine work to be done without a hitch.
So next day when she gets into the office and sees a new business travel request put in by her Sales Manager - she just attaches the Travel task set to the request . Automatically a set of tasks like flight booking, passport checking, business visa, hotel booking and arranging for foreign exchange all pop up. All she has to do is execute and mark as completed.
